Job Description: Responsibilities & Requirements


Main Job Functions:

Ensure accurate and timely payment of salaries and wages through compliance with related internal policies and procedures pertaining to payroll, as well as legislative requirements.

Key Performance Duties 

Administration of payroll activities

  • Load new employees ensuring that all relevant data is present and that all critical information is captured.
  • Confirm and load the correct rate of pay.
  • Complete provident funds and RFI linking.
  • Ensure company vehicles and petrol are taxed correctly.
  • Link leave methods correctly for accurate leave accumulation.
  • Link employees on email to ESS according to reporting hierarchy.
  • Used Memo screen on payroll to record notes.
  • Pay weekly incentives and wages.
  • Pay out the correct amounts on termination.
  • Reconcile payments to payroll monthly (within 3 days after month end).
  • Reconcile payroll deductions to actual payments monthly, by the 10th of each month.
  • Reconcile medical aid to billing on payday.
  • Ensure that payroll is compliant with MIBCO rules, including minimum wages.
  • Provide accurate annual bonuses and increase schedules in accordance with company policy and relevant legislation.
  • Load salary cost on salesforce before salary Run.

Optimally utilise payroll-related systems

  • Utilise the online system to optimal capacity, including MIBCO returns, distribution of payslips & IRP 5’s.
  • Reset of ESS / Sage 300
  • Assist employees with the ESS App on their phones, including ERS Biometrics.

Report relevant payroll data from the payroll reporting facilities

  • Provide HR and Government-required statistical reports.
  • Provide weekly & monthly statistics using the export facilities in payroll.
  • Load salaries on Salesforce.
  • Posting of month-end and weekly journals to ACUMATICA.
  • Provide leave provision reports to Finance.
  • Provide Ad hoc reports to Finance.
  • Assist with ESS training. 

Requirements

Job Requirements:

  • 4/5 years in a payroll administration role
  • People system payroll experience
  • Sage 300
  • Matric
  • Microsoft (all suites) – Advanced
  • Basic payroll system knowledge
  • Salesforce System
