Job Description
Responsible for welcoming guests on time in a friendly manner and directing phone calls to the relevant personnel. Performing administrative functions accurately, concisely, timely and according to standard operating procedures.
Duties and responsibility
- Welcoming visitors and directing them appropriately.
- Notifying relevant personnel of visitors’ arrival.
- Directing visitors by maintaining employee and department directories.
- Answering and forwarding phone calls to the relevant personnel.

- Keep a safe and clean reception area by complying with procedures, rules, and regulations (clean desk policy).
- Supports continuity among work teams by documenting and communicating actions, irregularities and continuing needs.
- Updating managers’ calendars and scheduling meetings when required.
- Handling of petty cash and performing monthly petty cash reconciliation.
- Responsible for the booking of Meeting Rooms.
- Control of the archive room, filing and scanning of documents.
- Updating and putting info on notice board register and TV In and Out register.
- Booking and arranging accommodation for visitors (Reitz only).
Requirements
- Grade 12 or NQF Level 4 Equivalent.
- Proven work experience as a Receptionist.
- Proficiency in Microsoft Office required.
- Hands-on experience with office equipment (e.g., scanners/ printers).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Excellent client service skills.
