PURPOSE:
To assist the Crew Services Manager by providing an effective and functional administration service to seagoing employees. To ensure that the manning of vessels complies with all relevant company policies and maritime regulations; thereby resulting in an efficient operational crewing service within the Fleet Department.
OUTPUTS & MEASUREMENTS
Duties include but will not be limited to:
- Assist the Crew Services Manager in ensuring that all seagoing staff being utilized, meet statutory safe manning requirements.
- Compile crew list and administer the process of assigning crew to respective vessels and actively monitor all crew on stand-by.

- Monitor and report on crew members who are on annual leave, shore leave, sick leave and any other assigned or unassigned absence from work.
- Organize transportation of crew and capture and process invoices received from vendors.
- Compile café lists and ensure that goods are purchased timeously.
- Perform data capturing on NAV.
- Effectively monitor all costs of the crewing service in accordance with guidelines and company targets pertaining to meals, transport, protective clothing, accommodation, stand-by, and other underlining expenses which may accumulate.
- Ensure that PPE orders, fry tickets and store issues have been issued in accordance with company policies and procedures.
REQUIREMENTS
The ideal candidate must possess the following attributes:
- National Diploma in Management Assistance or Business Administration.
- 2-3 years of work experience in a clerk/admin assistant capacity.

- Strong computer literacy, a good mastery of Microsoft applications and NAV.
- Strong interpersonal and administrative skills
- Good written and verbal communication skills.
- Ability to function independently within a high-pressure environment.
- Willingness to work long hours continuously.
- Ability to uphold and adhere to maritime regulations and company policies and procedures.
