Mascor is currently looking to appoint a Wholefoods Administrative Assistant for Midlands.

Specification

PURPOSE OF THE POSITION

To ensure the smooth running of the whole goods function at branch level.

SCOPE

This position will deal with all day-to-day activities at branch level with regards to whole goods.

DUTIES:

WHOLEGOODS

  • Send purchase orders to suppliers daily and allocate suppliers invoices.
  • Internal purchase orders for Job cards and parts to charge to stock numbers.

  • Invoice internal whole goods for branch.
  • Transfer units sold to workshop on the accounting system.
  • Check all commission deal packs weekly.
  • Do whole goods stock take at the branch monthly.
  • Administer John Deere audit monthly.
  • Reconcile the debtors report for the branch monthly
  • Registration, licensing and order number plates for sold whole goods units.
  • Obtain dealer stock trade in logbooks
  • Receiving and reporting on new wholegoods stock
  • Arrange readiness for wholegoods stock
  • Allocate JD credit notes and follow up
  • Keep record of new JD trailer


ADMINISTRATION

  • Act as safety officer
  • Administer leave and commission submission.
  • Filing
  • Keep attendance register.
  • Send relevant required reports to Head office monthly.
  • Allocate Company vehicles annually.
  • Administer advertising for used department.
  • Compile cheque requisitions for used department.
  • Allocate monthly parts courier invoices.
  • Attend to walk in customers and switchboard.
  • Report on all required renewal of vehicle licensing.

 

Requirements

REQUIREMENTS NECESSARY TO CONDUCT THE JOB SUCCESSFULLY

Qualifications:

  • Min: 3-year experience in Administration
  • Ideal: Bachelors in Administration

Training:

  • Labour Law,
  • Hazard & Safety requirements:
  • iOHS


KEY COMPETENCIES

  • At least 3 years’ experience in Whole goods administration
  • Planning skills
  • Able to operate under pressure.
  • Excellent skills in Microsoft 365: Outlook, Word, Excel,
  • Time management
