As Receptionist you are responsible for answering the telephone and screening customer requests. General Administrative duties of the office including providing of secretarial and support services to the Branch Manager and other high level employees.

A Typical Day

  • Answering the telephone
  • Screening customer requests to speak to the Branch Manager, including trying to resolve customer concerns before they are elevated to the Branch Manager.
  • Administrative support to the Branch Manager and other high level employees.
  • Attending meetings, taking notes and recording minutes.
  • Drafting customer letters.
  • Controlling and distributing shipping documents delivered by couriers to the relevant shipping companies and internal personnel

  • Controlling documents flows and ensuring filing is up to date at all times.
  • Managing diaries and arranging meeting requests for management with external clients.
  • Assisting with printing confidential documents for the Branch Manager and other high level employees.
  • Additional adhoc duties that arise from day to day according to the demands and priorities of the Branch Manager and other high level employees.
  • Responsible for ordering and issuing of stationery and consumables
  • Responsible for controlling all stationery and consumable stock
  • Responsible for controlling Leave/Sick forms


Who You Are

  • Matric
  • Advanced courses in MS Office suite
  • Formal Secretarial qualification will be advantageous
  • A minimum of 5 Years’ Experience in a similar role

  • Attention to detail
  • Excellent communication and telephonic skills
  • Strong interpersonal skills
  • Accurate recording of meeting minutes and good typing skills
  • Secretarial and organizational skills
  • High level MS Office suite skills
  • Ability to prioritize tasks and meet deadlines
  • Fluency in English as well as one other African language
