Electoral Operations Internship Programme

The Intern:

Electoral Operations will contribute towards the efficient co-ordination of electoral projects in the Organization. The Intern reports to the Assistant Manager.

 

Responsibilities/Duties

Key performance areas:

  • Assist each departmental staff member with his/her duties whilst undertaking daily activities to learn about the basics of the departmental portfolio, i.e. Delimitation and registration.
  • Assist with warehousing and inventory management.
  • Assist with PLC administration.
  • Assist with logistical activities and duties relating to by-election and by election management.
  • Assist with relevant duties and activities as indicated by the departmental staff.
  • Assist with selected logistical duties so as to obtain exposure to electoral operations and financial administrative matters.
  • Assist with various administrative duties within the Department including filing, VSI facility research and VSI support.
  • Assist with the organisation of MEO workshops.
  • Assist with the coordination of elections for other institutions and election readiness.
  • Running errands to various different departments, photocopying, faxing etc.

Finance Internship Programme

The Intern:

Corporate Services will contribute towards the efficient co-ordination of finance projects in the Organization. The Intern reports to the Assistant Manager: Finance.

Responsibilities/Duties

Financial Administration:

  • Capture requisitions check correctness of submitted documents, rental accounts and submit regular reports and handle incoming telephone calls.
  • Process payment for local offices from various districts

Supply Chain: 

  • Liaise with internal and external stakeholders in relation to procurement of goods and services.
  • Obtain quotations and follow up on submission of invoices.
  • Complete procurement forms in purchasing of standard office goods,
  • Stock control office stationery,
  • Keep and maintain the asset register of the office, coordinate submission of assets and submit quarterly reports.

Outreach Internship Programme

The Intern: 

Outreach will contribute towards the efficient co-ordination of the communications plans and stakeholder management processes of the organization. The Intern will report to the Deputy Manager's Outreach.

Responsibilities/Duties

Key performance areas:

Assist staff with co-coordinating communication plans, that is, both internal and external; maintaining liaison with all major communications stakeholders including the print and electronic media, managing the publicity plans of the province, promoting the internal publication tools that are operating in the province, monitoring progress in the communications area, liaising with all stakeholders relevant for elections, developing partnerships with stakeholders in order to achieve electoral goals, preparing reports and disseminates information, coordinating Continuous Democracy Education programs, capturing and approving of events on the Outreach Management Systems.
